How to Make an Invoice in South Africa (2026): Step-by-Step Guide
How to make an invoice in South Africa — invoice number, customer details, VAT rules, EFT payment details, and a free generator to create one in minutes.
Making an invoice in South Africa is not complicated, but getting the details right matters. A clear invoice helps you look professional, gives your customer what they need to pay, and keeps better records for your accountant.
If you would rather skip the explanation and make the invoice now, use PopPay’s free invoice generator. It creates a SARS-aware PDF in minutes, no signup required.
Fast path: Make your invoice free. Add your details, line items, VAT if applicable, and EFT payment details. Download the PDF and send it.
Step 1: Add your business details
Start with who is sending the invoice:
- business name
- address
- email or phone number
- VAT number if you are registered
If you are VAT-registered, your VAT number is not optional. If you are not VAT-registered, leave VAT off the invoice and do not charge VAT.
Step 2: Add your customer’s details
Add the customer’s name and address where required. If this is a VAT tax invoice and the customer is VAT-registered, their VAT number may also be needed depending on the invoice value and context.
The practical rule: collect enough customer detail that the invoice is clear, traceable, and useful for both sides’ records.
Step 3: Give it a unique invoice number
Every invoice needs a unique invoice number. Common formats include:
- INV-001
- INV-2026-001
- PP-0001
The exact format is less important than the sequence. Do not reuse invoice numbers. Do not let three spreadsheets create three different “INV-001” invoices.
A free invoice generator helps because you are not rebuilding the number by hand inside a copied Word file.
Step 4: Add the invoice date and payment terms
The invoice date tells the customer when the invoice was issued. Payment terms tell them when to pay.
Common terms:
- Due on receipt
- Net 7
- Net 14
- Net 30
For small service businesses, shorter terms are usually clearer. If you need payment this week, do not bury that expectation in vague wording.
Step 5: List what you are charging for
Add one line item per thing you are billing for. Include:
- description
- quantity
- rate
- total
“Callout + geyser valve replacement” is better than “services rendered”. Clear line items reduce disputes and make the payment easier to approve.
Step 6: Handle VAT correctly
If you are VAT-registered, show VAT separately and include your VAT number. South Africa’s standard VAT rate is 15%.
If you are not VAT-registered, do not add VAT. Your invoice can still be professional, but it should not claim tax you are not allowed to collect.

Step 7: Add EFT banking details
Most South African customers still pay by EFT. Make the payment details obvious:
- bank name
- account holder
- account number
- branch code if needed
- payment reference
Use a reference that helps you match the payment later, such as the invoice number.
Step 8: Send it and follow up
Send the PDF by email or WhatsApp. Then follow up before the due date and again after it is overdue.
This is where most small businesses lose time. The invoice is easy. The chasing is the pain.
A free PopPay account helps you save invoices, track who has paid, send WhatsApp-friendly reminders, and review EFT proofs. If you send invoices regularly, sign up for PopPay free.
The shortcut
You can do all eight steps by hand, or you can make your invoice free here: enter your details, add line items, toggle VAT if it applies, add EFT details, and download a clean PDF.

To make an invoice in South Africa, you need the right details, a unique number, clear line items, VAT only where applicable, and payment instructions the customer can act on.

A note on “SARS-aware”: this is general information, not tax advice, and does not guarantee compliance for your specific situation. If you are VAT-registered or unsure, have your accountant review your invoice setup. See SARS invoice requirements for the detail.
